We save all scanned output in the Abobe PDF (Portable Document) Format. This is the both the standard document format on the Internet, and the best format for transfers between PC and Macintosh computers. PDF files are ideal when you want to exchange documents while keeping the same layout. There are also no restrictions within the limits of different operating systems.

MSI offers many file formats, but as a default format we recommend black and white Group 4 TIFF for most document storage applications due to its wide support by software developers, small file size, and ability to store multi page documents in one file. Other image formats are available for full color or special applications, subject to a higher cost per image, additional processing time, and in some cases, royalty fees. DWC will not destroy documents immediately. Paper documents will be kept for a period of time. To be prudent, paper files will not be destroyed until the system has been successfully running for some time, and backup capability has been demonstrated and tested.

This means that the hidden fields in the actual physical records on disk are different between VMS and Unix. These hidden fields tell the FORTRAN run-time-library routines how long the records are. For photo senders, we prefer jpg images due to the compression to smaller files, bmps are uncompressed and much larger. However, we can accept and convert most any file type. We would like all individual files to be under 200k unless they should be considered for wallpaper, at which point they can be up to 1mb. Bundled photos submitted should be limited to 1.5 mb per email.

Scanners these days tend to come with PhD-style interfaces ("Push here, Dummy!"), which means that most of the default settings are made behind your back. In my experience (e.g., with HP PrecisionScan software), the default is to use all the colors and resolution available. Naturally enough, this generates the largest files.

We store all scanned document files on CD so that you may easily have access to them via any computer with a CD-ROM drive. Unlike reams of paper archives, CD-stored archives also give you more much-needed space, and are more easily protected in case of an emergency.
