You can schedule rooms and other resources in either Entourage or Outlook. You will continue to use your department's/school's policies about scheduling rooms. That is, some departments schedule rooms as a resource in Meeting Maker and some schedule rooms through an administrative assistant.

This problem can occur due to the fact that Entourage creates a copy of your mailbox (and any shared calendars you might open) on the local computer. Any changes you make to your mailbox or a shared calendar are first written to this local copy. Entourage will synchronize these changes with the Exchange server each time it is opened, and every 10 minutes thereafter (note that the "Send/Receive" command in Entourage appears to have no effect on this behavior).

Prior to sending the meeting invitation, select Make this an Office Live Meeting located at the top of the meeting information box. The Preferences box will pop up. Once a conference room account has been created and configured with the appropriate permissions by your college/department technician, you may begin using the resource as designed. There are two primary methods in accessing an Exchange calendar. You may directly open the conference room calendar or invite the conference room account as a resource when creating a meeting request. You may access a conference room resource via Outlook or through OWA (https://exchange.csupomona.edu).

Outlook calendars are searchable (can be busy searched). Once moved to the new Outlook system, you cannot "proxy" to another Outlook calendar. In Outlook, the similar feature is called "delegate."

These instructions are written for Outlook 2003. Instructions may vary slightly for other supported versions of Outlook. In the Capacity box, type the maximum number of meeting attendees and click OK. The Search criteria window closes. In the Resource Scheduling window, under Search Results, right-click the desired resource and select Select Resource.

Once assignment letters have been sent, no room changes will be made (other than for departmental needs) until the second week of classes. In order to secure a Private Room, you will need to book the entire room. For example, three persons booking a four-bed private room will need to select and pay for four persons if they wish to have a private room. If you set your preference to private room and there is no private room availability, the website will offer the best alternative available.

Shared Rooms are dormitory style and range in size from four beds upwards. They offer mixed accommodation unless alternative arrangements have been made in advance with the hostel. Certain hostels do accommodate guests in single sex-sex dorms, if this is the case it will be indicated on the hostel's microsite.

The Office of Conferences enters information into Conference Programmer, a software program designed specifically for event coordination. As a group coordinator gears up for a conference, the Administrative Assistant sends an Excel spreadsheet for the group coordinator to complete. Once filled out, the group coordinator returns the spreadsheet to the Administrative Assistant and uploads the information into Conference Programmer.
